Our Scout Group runs on teamwork – and behind every great adventure is a bit of good organisation. The Secretary Trustee helps keep everything running smoothly, making sure we meet our legal obligations and support our volunteers effectively.
You’ll be the organiser of our Trustee Board, coordinating meetings, managing key admin tasks, and helping with important submissions such as our annual report and census. It’s a flexible volunteer role that fits around your other commitments, usually needing around 4 hours a month.
What You’ll Do
- Arrange and schedule Trustee Board meetings
- Keep accurate minutes of meetings and the AGM
- Maintain the Trustee Board diary and ensure deadlines are met
- Coordinate and submit the Annual Report to the Charity Commission
- Support key administrative tasks that help the Group run safely and efficiently

What We’re Looking For
You’ll need to be organised, proactive and comfortable managing admin tasks. Good communication and coordination skills are essential.
Please note that this role cannot be combined with leadership, management or supporter roles within the group, to avoid any real or potential conflict of interest.
Training and Checks
You’ll need to complete the standard appointment process, including a DBS check and mandatory safeguarding and safety training.
Time Involved
Around 4 hours per month
Typically needed 1–2 times a month, with a little more at key points in the year.

Expenses
Like all our volunteers, you won’t be paid for your time, but we’ll reimburse reasonable expenses in line with our policy.
